He whakamārama mō te tūranga mahi | About the role
As our Lease Coordinator, you'll play a key role in managing KiwiRail's diverse property lease portfolio, ensuring leases, licences, and agreements are administered effectively and aligned with KiwiRail policies and procedures. You'll work across a geographically dispersed portfolio that includes commercial, industrial, grazing, and beautification agreements, while identifying revenue opportunities and maintaining strong relationships with tenants and stakeholders.
This is an exciting opportunity for someone who enjoys balancing lease administration, stakeholder engagement, commercial negotiations, and property management activities in a fast-paced environment. You'll work closely with internal property teams, customers, local councils, government agencies, and service providers to deliver positive outcomes for KiwiRail and our customers.
Key Accountabilities
- Manage leases, licences, and grants in accordance with KiwiRail policies, procedures, and contractual obligations.
- Prepare, process, and maintain documentation for new agreements, renewals, reviews, and lease variations.
- Negotiate lease terms, renewals, rent reviews, and variations to support commercial outcomes.
- Identify and capture revenue opportunities across KiwiRail's property portfolio.
- Manage tenant enquiries and maintain positive customer relationships.
- Support debt management, lease enforcement activities, and accounts receivable processes.
- Ensure rents and fees are maintained at appropriate market rates.
- Maintain a high standard of professionalism and customer service while working with a broad range of stakeholders.

- At least three years' recent experience in lease administration, leasing, or property management.
- Understanding of land ownership, tenure systems, and property management principles.
- Strong customer service and relationship management skills.
- Experience working with a variety of stakeholders and balancing competing priorities.
- Excellent written and verbal communication skills.
- Strong organisational skills with the ability to prioritise workload and manage multiple deadlines.
- Confidence using Microsoft Office applications, including Word and Excel.
- A proactive, self-driven approach and a commitment to delivering great customer outcomes.
